Milestone and retainer invoices, payment tracking and bilingual documents for firms.
Consultancies, accountants, law firms, engineering offices and agencies sell expertise, so invoices follow milestones, retainers and approvals rather than a shelf of products. Fatooraz issues e-invoices designed for Saudi e-invoicing rules in Arabic and English, records staged payments and shows, invoice by invoice, what has been billed and paid.
Problems we see in this industry
Milestones and retainers kept in spreadsheets
Fees tied to deliverables, monthly retainers and re-billed expenses live in separate sheets. A milestone gets invoiced weeks after approval or a retainer month is skipped, and cash flow suffers.
Large clients pay slowly
Corporate and public-sector clients pay on set terms, often after internal approvals. With no list of open invoices per client and no payment status, each follow-up starts from scratch and nobody sees the total still owed.
Deposits and staged payments get confusing
A deposit before work begins, a second payment at delivery and a final one at sign-off can leave a client unsure what is still due. Any mismatch between the agreed fee, the invoices and the payments erodes trust and slows payment.
Formal documents in two languages
Clients, including government bodies and international partners, expect formal Arabic and English invoices with exact legal names and tax details. Hand-typed templates invite errors, and an issued invoice cannot be amended.
How Fatooraz helps
Invoice by milestone, retainer or fixed fee
Raise an invoice when a milestone is approved, bill monthly retainers on a regular cycle and add re-billed expenses as separate lines, with 15% VAT shown wherever it applies.
InvoicingTerms, staged payments and payment status
Give each client its own payment terms, record each deposit or staged payment against its invoice and see billed, paid and outstanding amounts for every invoice at a glance.
Billing and paymentsFormal Arabic and English invoices
Issue right-to-left Arabic invoices with an English version for international clients, using exact legal names and VAT numbers so the same document works for finance teams on both sides.
Arabic-first and bilingualStandard invoices built for Phase 2
Business-to-business invoices are standard tax invoices, cleared by ZATCA under Phase 2 before they reach the client. Fatooraz is designed for those requirements and guides you through onboarding.
ZATCA e-invoicing (Fatoora)E-invoicing for this industry
Firms billing other businesses or public bodies normally issue standard tax invoices, which ZATCA clears under Phase 2 before the client receives them. An individual client is issued a simplified invoice, reported within 24 hours. A scope change or billing error is fixed with a credit or debit note instead of an edit. ZATCA announces each wave in advance, so follow its notices.
Numbers owners keep an eye on
- Fees invoiced per month
- Outstanding balance by client
- Average days to get paid
- Retainer versus one-off fee revenue
Frequently asked questions
Can I invoice a project in stages and see what the client still owes?
Yes. Raise an invoice for each approved milestone, record deposits and staged payments against them, and filter the open invoices by client to see what is outstanding and when it falls due, in one place. Your team and the client then know what is left before the next stage begins.
A client wants a figure changed on an invoice I already issued. What do I do?
An issued e-invoice cannot be edited or deleted. Issue a credit note to cancel or reduce the original and, if needed, a corrected invoice or a debit note. The invoice trail then shows the full history.
How do I follow up a client that has several open invoices?
Filter the open invoices by that client to see every invoice with its due date and remaining balance, then follow up on the overdue ones first instead of chasing invoice by invoice. It suits retainer and multi-project relationships where several invoices are outstanding at once.
