VAT return helper: total your sales and purchases from a CSV

This is a worksheet to check your totals. It is not your VAT return and it files nothing. The return on ZATCA’s portal has more boxes, such as imports and reverse charge, so confirm every figure with your accountant.

The first row names the columns. Required: type (sale or purchase) and net (the amount before VAT, in riyals). Optional: date, vat, rate, category (standard, zero or exempt) and description. Write credit notes as negative amounts. Dates are year-month-day or day/month/year.

The sample has made-up figures for September and October 2026.

The helper adds up what you give it. It cannot tell whether a row belongs in your return or in which box, and it does not check your invoices. ZATCA’s portal and your accountant decide.

How the VAT return helper works

Paste your sales and purchases as CSV or choose a file. Each row needs a type (sale or purchase) and a net amount. It can also have a date, the VAT amount, a rate and a VAT category. The helper reads the file in your browser and adds the rows up.

Rows are grouped as sales or purchases and by VAT category: standard rate, zero-rated, exempt, and other rates. If a row has no category, it is taken from the rate, or from the VAT as a share of the net amount. VAT you did not enter is worked out from the rate. VAT that does not match the rate is flagged and counted as written.

The totals show the VAT on your sales and on your purchases, and the difference: net VAT to pay, or to reclaim when the VAT on purchases is higher. A table by month helps when you file quarterly or want to see each month. How VAT to reclaim is treated is a matter for ZATCA’s rules and your accountant.

Good to know

  • This is a worksheet, not the VAT return. The return on ZATCA’s portal has more boxes than these totals, for example for imports and reverse charge, and ZATCA decides where each figure goes. Use the totals to check your own records.
  • Credit notes belong in the file as negative amounts, so they reduce the totals they correct. Check your accountant’s advice on the period in which to show them.
  • Amounts are in riyals with a decimal point. A file that uses semicolons and decimal commas is also read. Rows it cannot read are left out and listed, so look at that list before you rely on a total.
  • Nothing you paste is stored or sent. Everything runs in your browser. Files up to 5 MB are read.

How do I total my sales and purchases for a VAT return?

List each sale and purchase with its net amount, VAT and category, and add them up by category. This helper does that from a CSV: it totals the VAT on sales and the VAT on purchases, and shows the difference as the net VAT.

Is this my VAT return?

No. It is a worksheet to check your own figures. You file the return on ZATCA’s portal, which has more boxes, and your accountant can tell you where each figure goes.

What columns does the CSV need?

The first row must name the columns. Only type (sale or purchase) and net (the amount before VAT) are required. The date, vat, rate, category and description columns are optional. The template download shows the layout.

How are credit notes handled?

Enter a credit note as a negative amount, in the same category as the sale it corrects. It then reduces that category’s totals.

Is my data uploaded?

No. The CSV is read and added up in your browser. Nothing is stored or sent.
